Ripon City Gymnastics Academy Limited

By accepting a place, you are agreeing to adhere to these terms.

We expect all members to follow these codes of conduct in full. 

 

Initial bookings

  • Initial bookings and tasters for classes must be booked with us via email. Taster sessions must be paid for in full in advance of the first session. If happy and wanting to continue sessions after this point a direct debit will need to be set up, this is the parent/guardian’s responsibility.

  • By signing up to a monthly membership or half term block booking you are agreeing to the following terms and conditions.

Monthly Direct Debit

  • Once the direct debit is set up we will create a pro rata amount to cover the remainder of the months lessons. This payment will be taken 3-5 days after your direct debit has been set up.

  • Your membership payment will be take on or after the 1st of each month. If you set the direct debit up after the 26th of the month, your first payment may be taken later in the month as it takes up to 5 working days for your direct debit to become active.

  • There is no contract for your direct debit membership to our club.

  • If were are unable to take payment after three attempts, your child’s gymnastics place may be delayed or cancelled until payment can be made.

  • The cancellation of membership with the club is the responsibility of the member. If you wish to cancel your membership with us, please give us written notice via email by the 15th of the month in order to avoid incurring a direct debit charge for the following month.

  • No partial refund for the remainder of any month will be credited in any circumstance.

  • For example, if you cancel with us after the 15th of the month, you will be liable for the following month and payment will be collected in the usual way.

  • If you cancel your direct debit but do not notify us via email by the 15th, you will still be liable for the next’s month invoice.

  • We do not offer refunds for classes which are not attended due to illness, injury, social events, holiday or any family emergency.

  • If the Club has to close due to adverse weather conditions no refunds will be given. Fees remain the same price regardless of bank holidays, holiday season and staff training. Members who missed a session due to the scheduled session being cancelled by the club, may be offered a top up session where available.

  • The yearly membership cost is spread out over the year, we run 39 weeks a year, term time only the direct debit payment will be taken each month excluding August.

Charges

  • We appreciate that some children do not always wish to take part on the day or may wish to attend but we are unable to refund any children who do not take part, this is due to the fact that we have reserved the space for your child and the staff and venue have already been arranged. Please note that it is quite normal for children to be shy when they first attend and their confidence will grow in the weeks to come. The coaching team is experienced in dealing with this and will be happy to work with your gymnast to improve their confidence.

  • Once a series of lessons including the initial trial session has been paid for, you are not entitled to a refund if your child does not wish to attend.

  • We do not offer “makeup classes” for lessons missed for independent classes.

Guardians

  • In classes adults are asked to wait in corridors or leave and come back. Parents, guardians and family members cannot remain in the sports hall or gymnasium.

Arriving at classes and leaving

  • Gymnasts must be escorted up to the hall where the class is taking place.

  • Gymnasts may be left during their session. However they must not be dropped and left more than 15 minutes prior to the start of their lesson. They cannot be dropped in the car park or other areas of the venue, unless pre arranged with our coaching team.

  • At the end of the class please collect your gymnast from the hall at the end of their lesson.

  • Gymnasts without guardians will not be allowed to leave unattended unless prior written consent has been given by the guardian. This consent will only be accepted for gymnasts aged 12 and over.

  • Gymnasts are required to arrive in good time to start the class promptly in uniform and with a refillable drinks bottle.

Disruptive and Inappropriate Behaviour

  • Children and adults in attendance at classes are asked to be civil and courteous to other members and other venue users at all times.

Holidays

  • Holidays taken within term time will not decrease the price of the classes. Full payment for the classes must still be made and no refunds will be given for weeks missed due to holidays.

Uniform

  • Gymnasts in lessons will need to wear shorts and t-shirt or a leotard, suitable for sports. Our squads have stricter uniform guidelines and you will be informed of these if your child is selected for a squad. No leggings, hoodies, jumpers, skirts, dresses or onesies can be worn on the equipment, if so children may not be allowed to take part in certain activities during the class. Gymnasts must have bare feet unless socks need to be worn due to a medical condition. All Gymnasts with long hair must have it tied back. No jewellery may be worn during classes including friendship bracelets and festival bands. A coach will ask for these to be removed and the gymnast will not be able to take part in their lesson until this has been done. Earrings may be taped if they are unable to be taken out.

Disabilities

  • On booking, please give full details of any child with any disabilities. It is the parent/guardian’s responsibility to notify us of such disabilities to ensure safe and effective teaching methods and standards are maintained.

Medical conditions

  • Guardians must update the admin team with details of new or changing medical conditions. We are unable to be responsible for looking after any medication including inhalers, this remains the responsibility of the gymnast.

Physical Contact

  • Parents should be aware that due to the nature of gymnastics it is necessary for the coaches to have physical contact – known as “spotting” or “supporting” the gymnasts.

     

Food and Drink During Class

  • No food can be taken into class, drinks bottles can be placed inside the gym in the designated area and must be taken at the end of the session.

Lost property

  • All property is the responsibility of the child and guardian attending class, Ripon City Gymnastics Academy can not be liable for any lost or damaged belongings. Items found will be held at the lost property box for a period of one term before being disposed of or donated to charity. 

Insurance, First Aid and DBS Checks

  • All members must have an active British gymnastics membership, this is a yearly cost and fully completed through the British gymnastics website, without this in place Ripon City Gymnastics Academy reserves the right to refuse entry to class.

  • Maintaining membership to the club remains the responsibility of the club member, Ripon City Gymnastics Academy does not accept any responsibility for any incident which may happen where the gymnasts does not have membership / insurance with British Gymnastics.

  • One member of staff will have attended a First Aid Awareness Course or have a First Aid qualification. Copies of qualifications and DBS checks are available upon request.

Understanding risk

  • Due to the nature of activities at a gymnastics club we wish to inform you that the possibility of serious injury exists.

  • It is vital that members follow instructions given to them by coaches to decrease the risk of serious injury.

  • By attending class it is deemed that you accept all risks associated with such participation.
